Hotel Football’s essential tips to booking the perfect Christmas party in Manchester

We’re weeks away from the festive season. You’ve made your list, but have you checked it twice? We asked Beckie Shaw and Kirsty Walton from the Hotel Football meetings and events team for some tips to make sure your Christmas party in Manchester is wrapped up efficiently.

1. Eat, drink and be merry… at the menu tasting

Arguably the most important (and delicious) stage of the booking process is the menu tasting. Remember, you’re making the decision for your delegates, so you may want to gauge some feedback on their preferences beforehand, or perhaps even put it to the vote? Just be careful of vote-rigging! Ideally, a venue will have a few set menu suggestions but can also be flexible if you want to tweak them.

2. Set deadlines for pre-orders

Gluten-free? Vegan? Nut allergy? With dietary requirements and intolerance concerns to consider, getting your pre-orders back on time may prove more difficult than you first thought. Pre-booking forms are always essential, try creating one in a spreadsheet that can be opened and edited on any device.

3. The afterparty

With so much focus on the dinner element, the matter of where to finish up can sometimes be at the back of the booker’s mind. The turkey has been carved and the wine is flowing. The crackers have been pulled and it’s time to dance the night away. After the belt buckles have been loosened, your guests may not want to traipse across town to a separate location. Find a venue that can transform from dinner to dance at the drop of a hat (or napkin).

4. That’s Entertainment

Live bands, DJs, quartets – you’ve probably experienced them all. Put the feelers out to the team to ask what they want and go with the majority. Double-check with the venue that they can meet the expectations, and ask about curfews and inbuilt PA systems. The venue will more than likely be able to provide suppliers and entertainment, tried and tested from previous events.

5. When the music stops

Getting everyone home at the end of the night can easily turn into a mammoth task. Hosting your party in a hotel takes away the stress of booking taxis and avoiding a spill out onto the street – just make sure they have their room key before sending them off to bed.

6. It’s never too early…

All of the above can be quite daunting if you leave it ‘til the last minute. With the festive season on people’s minds earlier and earlier each year – ‘tis the season to get booking! Many venues will also offer early-bird incentives which are worth looking out for.
